ROLE OVERVIEW:

We are looking for a Senior Administrator plus Procurement professional to oversee our administrative and procurement operations, ensuring efficiency and effectiveness across the organization. The ideal candidate will be a proactive problem solver with exceptional organizational and communication skills, a keen eye for detail, and the ability to multitask and prioritize in a fast-paced environment. RESPONSIBILITIES:

  • Manage and oversee daily administrative operations, including managing schedules, coordinating meetings, and handling correspondence.
  • Supervise and mentor administrative staff, providing guidance and support as needed.
  • Develop and implement efficient administrative processes and procedures to streamline operations and improve productivity.
  • Coordinate office services, such as equipment maintenance, supplies procurement, and facility management.
  • Manage relationships with external vendors and service providers, negotiating contracts and agreements as necessary.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Assist with financial administration tasks, such as budget tracking and expense management.
  • Prepare and analyze reports and presentations for senior management.
  • Support HR and training functions, including recruitment, onboarding, and employee relations.
  • Manage bookings, check-ins, and follow-up processes related to appointments, reservations, and client interactions.
  • Coordinate and schedule meetings, ensuring all necessary arrangements are in place.
  • Oversee inventory management, including tracking supplies and ordering replenishments as needed.
  • Perform general office work, such as data entry, filing, and organizing documents.
  • Provide trial support and manage procurement-related documentation.
  • Place purchase orders (POs) and track order fulfillment.
  • Maintain office infrastructure, including managing office equipment, IT systems, and facilities.

QUALIFICATIONS:

  • Bachelor's degree in Business Administration, Management, or related field.
  • Proven experience in an administrative role, with at least 5+ years of experience in a senior or supervisory capacity.
  • Strong leadership and interpersonal skills, with the ability to motivate and inspire a team.
  • Excellent organizational and time management skills, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to handle multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience in budget management and financial administration is preferred.
